What to include on a freelancer invoice
Along with the basics (your details, the client's details, an invoice number, dates and totals), make sure you cover:
- Project or PO reference
- Put the project name or the client's purchase order number in the notes so their accounts team can match the invoice to an approval.
- How the work was priced
- Hourly lines show hours × rate; fixed-fee lines show one unit at the agreed price. Mixing both on one invoice is fine.
- Deposits already paid
- If you took an upfront deposit, record it as a payment received so the balance due is correct.
- Payment details
- Bank transfer details, a payment link, or the accepted methods, in the terms section.
Tips to get paid faster
- Invoice as soon as a milestone is delivered, not at the end of the month. The payment clock only starts when the invoice arrives.
- Use a consistent number sequence (INV-0001, INV-0002…). Many tax authorities require invoice numbers to be unique and sequential.
- State a late-payment policy in your terms, and apply it consistently.
Freelancer invoice FAQ
Should freelancers charge sales tax or VAT?
It depends on your country, what you sell, and your turnover. Many places exempt small businesses below a registration threshold. If you are registered, add the rate to each taxable line and include your tax ID on the invoice.
Hourly or fixed price: which should I invoice?
Invoice the way the work was agreed. For hourly work, list hours and rate per task; for fixed-price work, one line per deliverable or milestone keeps it clear.
What payment terms are normal for freelancers?
Net 14 and Net 30 are the most common. Shorter terms such as Net 7 or due on receipt are reasonable for small jobs or new clients.
